Nobody designs a hotel restaurant thinking about the printer. It gets bought last, placed wherever there is room, and forgotten until it jams in the middle of dinner service. And yet, for as long as paper is part of your operation, that printer decides whether the order reaches the grill on time or whether the server has to walk to the kitchen to ask if anyone saw it.
Two printers, two different jobs
A hotel restaurant runs at least two kinds of printing, and confusing them is the first mistake. The kitchen printer sends the order to the kitchen, bar or beverage station the moment the server sends it from the tablet or terminal. The receipt printer prints the check for the guest, or the room charge slip (Room charge) when the guest asks to have it posted to the folio.
They are different jobs because they have different readers. The kitchen ticket is read by the cook, who needs large type, paper that holds up to heat and grease, and a printer that can keep pace through a full shift without stalling. The receipt is read by the guest, who needs a more presentable slip, with the restaurant logo, the tax breakdown and, when it applies, the invoicing details.
What to check before buying a printer
A thermal printer spec sheet says little unless you know what to look for. These are the points that actually change day to day life in a hotel restaurant.
Network before direct cable
A printer connected over a network, wired or wireless, can receive tickets from several terminals and tablets at once. A printer wired directly to a single register is tied to that register: if the server uses a different terminal, the ticket never arrives. In a hotel restaurant, where the same revenue center can receive orders from the dining room, the pool and room service, a networked printer is not a luxury; it is the difference between a ticket that arrives and one that gets lost.
Speed and paper width
Speed matters less than it seems: almost every modern thermal printer prints a short ticket in under two seconds. What actually matters is paper width. An 80 millimeter roll prints full item names and modifiers without cutting words; a 58 millimeter roll forces abbreviations, and a misread abbreviation in the kitchen means the wrong plate.
Resistance to the kitchen environment
The kitchen printer lives near heat, steam and grease. Look for models with an environmental resistance rating, or at least a sealed housing that keeps liquid from getting in from above. A home style printer placed on the line lasts weeks, not years.
Where to place each printer
Placement matters as much as the model. An excellent printer in the wrong spot causes the same problems as a mediocre printer in the right one, and moving a printer is usually cheaper than replacing it.
- The kitchen printer belongs where the cook can see it without turning around or walking. If they have to turn back every time it fires, tickets will get missed exactly when pressure is highest.
- If the menu has separate stations, such as grill, cold and desserts, and each one has real volume, it deserves its own printer, not a copy someone hand delivers.
- The bar needs its own ticket printer, separate from the kitchen, so it does not mix preparation times as different as a cocktail and an entrée.
- The dining room receipt printer belongs somewhere the server can grab it without cutting through the kitchen, so as not to interrupt the tickets that actually matter to the cook.
- Room service needs its own printer or screen, separate from the dining room, because it shares a kitchen but not a rhythm: a room order can arrive at any point in the service.
The network behind the paper
A kitchen printer depends on a network that works, and the hotel restaurant network is not always the systems team’s first priority, since they tend to think first about guest internet. It is worth separating the point of sale network (Point of sale) from the guest network, even when they share the same provider, so a heavy download in a guest room does not slow down a kitchen ticket.
It is also worth having a plan for when the local network drops. If the restaurant system can keep taking orders offline and send them to print as soon as the network returns, a brief outage does not stop service. When it makes sense to move to a kitchen screen
The kitchen display system, known by its initials as KDS, replaces paper with a row of tickets on a screen built to withstand heat and humidity. It is not a trend: it solves concrete problems paper cannot solve.
- It orders tickets by wait time and highlights them as they approach a limit you define, something a paper roll simply cannot do.
- It removes the paper that gets lost, soaked or unreadable from grease, which in a high volume hotel kitchen happens more often than any chef admits in the meeting.
- It lets a cook mark a plate ready with a tap, and that mark can notify the server on their tablet without anyone shouting a table number.
- It keeps an exact history of how long each station takes, something paper throws away at the end of the shift.
A kitchen screen makes sense once a revenue center already runs high, steady volume, when several stations need to coordinate, or when the hotel already runs multiple revenue centers and wants one standard. In a small restaurant, with a single line and moderate volume, paper is still an honest solution, and switching too early only adds one more screen to maintain.
Making the switch without losing a service
Switching from paper to screen, or simply switching printers, should not force you to close the restaurant or lose orders mid transition. These are the steps that actually work in practice.
- Map every revenue center in the hotel and how many tickets per hour it gets at its busiest hour. That number, not the daily average, is what sizes the equipment.
- Decide the physical placement of every printer or screen first, walking the space with the chef and the captain, before choosing a brand.
- Test the network signal at the exact spot where each unit will sit, not in the systems office, since a weak signal on the line invalidates any purchase.
- Run the new equipment in parallel with the old one for a full shift before removing the outgoing unit, so you have a fallback if something fails.
- Train the kitchen team on the new way of marking tickets ready, with the chef present, not just a manual.
- Review the first shift close for that revenue center after the change, to confirm no ticket got lost in the transition.

Mistakes that keep repeating
Before closing, it is worth naming the mistakes that show up again and again when a hotel buys printers without thinking through the whole flow.
- Buying the cheapest printer in the catalog without checking whether it can handle peak shift volume, and finding out the first busy night.
- Putting one printer for two stations that work at very different paces, forcing someone to tear off and hand out paper.
- Running out of thermal paper right when the restaurant is full.

- Switching printers without warning the kitchen team, who end up learning the new system mid service.
